Guidelines for Access to Loyola Online Systems and Resources

Loyola issues an online account to each individual as they join the university. Online accounts at Loyola are used to access email, access the Inside Loyola portal, perform financial transactions with the university, and many more services. As such, the account is a privilege with its usage governed by the Loyola Information Security Policy and Password Policy. Account holders should be familiar with each of these policies.

Account Eligibility Rules

Students:

Enrolled Undergraduate - This status begins when the enrollment deposit is received or waived.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, student employee payroll records, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Enrolled Graduate - This status begins when the enrollment deposit is received or waived.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, student employee payroll records, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Former Undergraduate - This status begins when an undergraduate student withdraws from the University without attaining a degree.
Available Resources:  Self-Service to retrieve tax information, grades, and unofficial transcript for 18 months after the withdrawal date.

Former Graduate - This status begins when a graduate student withdraws from the University without attaining a degree.  Access for graduate students who do not officially withdraw will be removed if they have not registered for a course within the previous 6 semesters.
Available Resources: Self-Service to retrieve tax information, grades, and unofficial transcript for 18 months after the withdrawal date.

Visiting\Exchange - This status begins when the enrollment deposit is received or waived.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, student employee payroll records, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Suspended - This status begins when the student has been suspended from enrollment for any reason.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, student employee payroll records, Evergreen Card.


Expelled - This status begins when the student has been expelled for any reason.
Available Resources: Self-Service to retrieve tax information for 18 months after the expulsion date.

Alumni:

Alumni - This status begins when a student graduates from the University.
Available Resources: Campus computer access, OneDrive, Microsoft Teams and Moodle for 120 days post-graduation. Alumni will have access to Self-Service to retrieve tax and payroll information, grades, and their unofficial transcript for 18 months post-graduation. 

Faculty:

Part-time Affiliate - This status begins 42 days prior to the employment start date.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Part-time Affiliate Inactive - This status begins two years after the end date of the last class taught.
Available Resources: None.

Full-time Faculty - This status begins 42 days prior to the employment start date.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Voluntary Termination Faculty - This status begins upon the termination date. 
Available Resources: Faculty who leave the University voluntarily may request extended email access from their department chair or dean for a period of two months. Faculty will have access to Self-Service to retrieve tax information for 18 months post termination date.

Involuntary TerminationThis status begins upon the termination date. 
Available Resources: Self-Service to retrieve tax information for 18 months post termination date.

Emeritus Faculty - Faculty members who have applied and received Emeritus status.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Employees:

New Hire - This status begins 7 days prior to the employment start date.
Available Resources: Including but not limited to campus computer access, Inside Loyola portal, Office 365, email, OneDrive, Microsoft Teams, Moodle, Self-Service, Evergreen Card, campus doors, Fitness and Aquatic Center, and Library.

Voluntary Termination (includes employees who are also students or alumni) This status begins upon the termination date. 
Available Resources: Employees who leave the University voluntarily may request extended email access from their supervisor for a period of two months. Employees who are also students will be given a new mailbox and employees who are also alumni will be given a mailbox upon request. Access to Self-Service to retrieve tax information for 18 months post-termination date.

Involuntary Termination (includes employees who are also students or alumni) - This status begins upon the termination date. 
Available Resources: Employees who are also students will be given a new mailbox. Employees who are also alumni will be given a mailbox upon request. Employees will have access to Self-Service to retrieve tax information for 18 months post-termination date.

Temporary Employees/Contractors/Consultants - This status begins upon the employment start date requested.
Available Resources: Access will vary depending on the business need.

Part-time Coaches Inactive - This status begins one year after the end date of their last pay date.
Available Resources: None.

Notes:

  • When multiple roles apply, access will be granted for available resources defined in each role, with the exception of email. Only one email account is provided, no matter the number of roles a person is active in.
  • "Computer Access" includes but is not limited to lab computer access, printing, wireless access, and academic applications.
